HOA Management

In short, we specialize in HOA property management for single family HOA’s that are comprised of 250 units or more.  That is our specialty because nearly 90% of the units we manage are single family homes.  That being said, we also expertly manage our townhome, condo, and patio home associations. 

Regardless of the make-up of the community, we begin every discussion about our HOA management services with a question—what does your community need?  From there, we ask key questions about your HOA to learn what your needs are, and then, using your answers as a guide, we craft a management plan that is designed specifically for your HOA. In other words, we specifically tailor our management to your HOA―not the other way around.

If covenant control is your HOA’s most important priority, it becomes ours. But if you would rather we focus more heavily on finding the best contractors to maintain your common areas for the least amount of money, we will direct our utmost attention to doing so. And best of all, you will find that even if we are focused on a specific area of management for your community association, none of the typical services we provide (listed at right) will suffer.  Also, if you find that over the course of your relationship with us your needs and priorities change, we can adapt our management in a heartbeat to make sure that we are constantly taking care of what matters to you most.

Covenant Control and Oversight

We will regularly inspect your community to ensure that all properties abide by the covenants, rules, and regulations of your community. We then send out violation letters as necessary, levy fines, and work with homeowners to bring them back into compliance.

Contractor Bidding, Monitoring, and Direction

At the direction of the Board we will conduct
a competitive bidding process among qualified contractors for all of your contractor needs. To
carry out this process, we solicit bids from firms
that we know and trust as well as your current contractors and others.

Contract Negotiation

Once you have chosen a vendor, we will
work with that contractor and your legal counsel to help negotiate a contractor agreement that serves the best interests of your community. Our role in the negotiation is to facilitate, as opposed to hinder, the process.

Vendor Oversight

We will then monitor those contractors through regular inspections and through Board and homeowner input to ensure that all of your contractors perform as they should. This ensures
that you receive the service you deserve and that
your contractors perform as requested.

Homeowner Interface

We serve as the main resource for your community, answering homeowner covenant and collections questions, administering ACC/ARC requests, assisting with newsletter creation, and working with you to host community events. Homeowners need to know we are always happy to help!

Preparation of Monthly Financials

We maintain all financial records relating to
the HOA for each and every homeowner (including assessments, fines, interest, fees, and payments). We can also allow for remote Board Member and Homeowner access to portions of the software,
if desired.

Annual Budget Preparation

Based on your prior year’s income and expenses, as well as the following year’s projected income and expenses, we develop a comprehensive annual budget for Board review and approval.

Assistance with Reserve Budget Prep

Working with your reserve study specialist, we
will help your Board decide on an appropriate budget for necessary capital expenditures to help ensure that you have enough funds to keep your community looking beautiful.

Website Maintenance and Oversight

As desired, we create and maintain a website that is specifically tailored to your Community’s needs. From maintaining public sections of the website that anyone can access with or without a password to password protected sections, we can provide on-line access to as much or as little information as you desire.

Attendance at Board and Annual Meetings

We attend and administer both your regular Board and Annual meetings, staying as deeply involved or as hands off as you desire. We also take meeting minutes to later provide to the Board for review and approval.
